How Do AI Procurement Agents Find Suppliers?

AI procurement agents find suppliers in three passes. First they search the web for companies matching a buyer's brief by industry, region, capability and certification. Then they check that the company is real and current. Finally they look for an email address they can send a request for quote to. A supplier that fails the third pass is dropped, because the agent's next action is to send an RFQ and a company it cannot reach is not a candidate.

Why This Matters for Suppliers

Buyers increasingly rely on agents to find suppliers they do not already know: businesses map only about 60% of their supplier networks and just 18% report full visibility (QIMA, 2026). Forrester expects 20% of B2B sellers to face agent-led quote negotiations in 2026. A supplier the agent cannot read or reach is invisible to that buyer, and never learns that an RFQ was drafted for someone else.

How the Three Passes Work

  1. Match the brief. The agent reads a plain-language need such as "aluminum die casting, 5,000 units a year, ISO 9001, Midwest" and searches for companies whose sites state those terms as text. Capabilities hidden in PDF brochures or images do not match.
  2. Confirm the company. It checks that the company is real, still trading, and not already in the buyer's supplier pool, so nobody is added twice. Stale sites, expired certifications and inconsistent company names count against a candidate.
  3. Find a contact. It pulls a reachable email address from the supplier's site. A web form, a phone number, or an address rendered as an image does not count. Suppliers without a public-facing contact are removed from the shortlist.

Agents also re-check existing records over time and flag those that have gone stale, so being found once is not the same as staying found.

What This Means in Practice

The agent is doing what a diligent junior buyer would do with a search engine and an afternoon, except it never skips the step of checking whether it can reach you. Do AI agents use supplier directories?

They may search them as one source among many, but the open web is the primary source, and a directory listing does not substitute for a readable website. If the directory entry links to a site the agent cannot parse, or lists a company name that does not match the site, the candidate is weakened rather than strengthened.

Does the agent rank suppliers by price?

Not at the discovery stage. Discovery is about match, currency and reachability. Price only enters once quotes have been requested and returned, at which point the buyer compares them. A supplier that is never contacted never gets to compete on price at all.

Can a supplier see that an agent looked at them?

Usually not. Agent research is a read of public pages, and unless the supplier is contacted, there is no signal. That is why the failure is invisible: the RFQ goes to a competitor whose site was readable, and the dropped supplier never knows the request existed.
